How do I submit an event to An Open Room?
Visit the Submit an Event page and fill in your event details — title, description, date, venue, ticket price, and a registration link. Our editorial team reviews every submission before it goes live, usually within 24 hours. Once approved, your event appears in the feed for the relevant city and is included in the Friday digest sent to subscribers.
How long does the review process take?
Most events are reviewed and approved or rejected within 24 hours of submission. During busy periods (Monday mornings and ahead of the Friday newsletter send) it can occasionally take up to 48 hours. If your event is time-sensitive, submit it at least three days before the event date to ensure it reaches the Friday newsletter.
What types of events do you list?
We list in-person and online events relevant to the European tech and startup ecosystem — including founder meetups, investor panels, product demos, hackathons, AI and Fintech events, side events at major conferences, and themed networking nights. We do not list purely social events without a tech focus, academic conferences, or internal company events.
Is it free to list my event?
Yes — submitting and listing an event on An Open Room is completely free. We review all submissions editorially, so listing is not guaranteed, but there is no charge for standard submissions. If you are interested in featured or sponsored placements, please get in touch via the contact form.
Can I update or edit my event after submitting?
If your event details change after submission (venue, time, ticket link), email us at events@anopenroom.com with the event title, city, and the updated information. Our team will update the listing as quickly as possible. If the change is fundamental (e.g. the event is cancelled or postponed), include that in your message and we will remove or update it accordingly.
How do I get my event featured or spotlighted?
Featured events are selected editorially based on relevance, quality, and timing — we look at speaker line-ups, topic fit, and likely audience interest. To improve your chances: write a detailed, compelling description; add speaker profiles; include a clear venue or online link; and submit early. Events with high engagement (views and registration clicks) are also promoted via our hot score algorithm.
How are events promoted to subscribers?
Approved events are published immediately to the city feed and appear in the weekly Friday digest sent to email and Slack subscribers in your city. Events with high hot scores are surfaced first within each week grouping. Our digests go to curated audiences of founders, investors, and builders who have opted in specifically for your city.
Which cities do you currently cover?
We actively cover London, Berlin, and Amsterdam, with Manchester, Edinburgh, Dublin, Birmingham, and Bristol also live. Paris, Milan, Rome, and Barcelona are coming soon. If your event is in a European city we do not yet cover, submit it anyway — we are expanding and will notify you when your city launches.
What information do I need to provide when submitting?
Required: event title, description (at least 100 words), start date and time, venue name and address (or "Online"), and a registration or ticket link. Recommended: end time, price (free or paid with amount), event category (e.g. AI, Fintech, Founders), and speaker names and titles. The more detail you provide, the more discoverable your event is and the higher the chance of a featured placement.
My event was rejected — what are the usual reasons?
Common reasons for rejection include: the event is not clearly tech or startup focused; the description is too short or vague; the date has already passed; the registration link does not work; or the event is a duplicate of one already listed. If you believe your event was rejected in error, email events@anopenroom.com with the event details and we will take another look.
