An Open Room lists tech and startup events across Europe. This page explains what personal data we collect, why, who processes it on our behalf, and what you can ask us to do with it. Questions or requests: events@anopenroom.com.

Browsing the site

You can read every listing without an account and without giving us any personal data.

What we collect, and why

  • Newsletter sign-up — your email address, optional name, and the city and language you choose. Used to send the weekly email and a welcome message. Stored in our database and with our email provider, Mailchimp.
  • Event submissions — the event details you send, plus the organiser name and contact email you give us. The email is used only to contact you about the submission. It is never published on the site.
  • WhatsApp updates — if you sign up, your phone number and chosen city.
  • Slack digest — when you connect a Slack workspace we store the workspace and channel name and the webhook Slack issues, to post the weekly digest.
  • Basic security data — when you submit a form we keep a one-way, keyed hash of your IP address for up to two days to stop spam. We never store the IP address itself.

The legal basis is your consent for the newsletter, WhatsApp and Slack, and our legitimate interest in running and protecting the service for submissions and security data.

Cookies and analytics

  • Your cookie choice — a cookie_consent cookie remembers whether you accepted or declined.
  • Analytics, only if you accept — Google Analytics 4 measures how the site is used, and we count event page views and registration clicks to rank events. Decline and neither runs.
  • Strictly necessary — a short-lived cookie while you connect Slack, and a sign-in cookie for staff using the admin area.

Who processes your data

  • Vercel — hosting
  • Supabase — database
  • Mailchimp — newsletter delivery
  • Google — analytics, only with your consent
  • Anthropic — drafts editorial text from public event information, never from subscriber data

Some of these providers process data outside the UK and EEA under their standard contractual safeguards.

How long we keep it

Newsletter and WhatsApp details are kept until you unsubscribe or ask us to delete them. Submission contact details are kept for as long as the listing exists. Security hashes are deleted within two days.

Your rights

You can ask to see, correct, export or delete your data, or object to how we use it. Every newsletter has an unsubscribe link. For anything else email events@anopenroom.com. You can also complain to your data protection authority — in the UK, the Information Commissioner's Office (ico.org.uk).
